2005 Long Course Bid Information
Welcome to the new on-line
bid submittal page for 2005 LC Bid Declarations. All bid declarations will
be submitted on-line and will be date/time stamped by the CSI (Spellnet) server. The
2005 LC bids will consist of two separate bid procedures and due dates for
regularly-scheduled meets and for Regional Championships. Clubs may bid on both
regularly-scheduled and Regional Championship meets.
Club contacts will receive post card notification regarding the 2005 Long Course Bid Information directing clubs to this web page.
Regional Championship:
Regularly-Scheduled Meets:
1. Please remember that there are separate bid procedures for Regional Championships (due Feb. 14th) and regularly-scheduled meets (due Feb. 18th).
2. Read the Scheduling Procedures before submitting a bid.
3. Every field must be completed on the on-line submittal form.

Please, do not submit another bid.
6. Confirmation of receipt will be emailed to the contact listed on the bid submittal. For your records, print the confirmation page for each meet.

Scheduling Procedures for a Regularly-Scheduled Meet
CSI teams that wish to host a 2005 long course meet shall be required to declare their intention to sponsor a meet by completing an on-line Declaration of Intention. Teams will be required to return their declaration by Friday February 18, 2005. Declarations will be submitted on-line at ctswim.org. Declarations will be date and time stamped by the SpellNet server. Bidding clubs will receive email confirming the receipt of their bid. Bids stamped after 11:59 PM February 18, 2005 will not be accepted.
NOTE: Due to the lack of long course venues, teams procuring a facility after the bid deadlines may request meet sponsorship. CSI Program Operations will consider requests on an individual basis with consideration given to the current long course schedule.
Declarations of Intention
Teams who return a Declaration will receive a list of all bidders, which includes type of meet proposed, and the pools and dates requested, no later than Saturday February 25, 2005.
There will be a Meet Sponsorship Committee Meeting Tuesday March 1, 2005, at 7:30 pm, at Orange Community Center. All teams who have declared their intention to host a meet will be required to send a representative. At the discretion of the Meet Sponsorship Committee, any and/or all declarations for teams that do not have a representative present at this meeting may be withdrawn. All Declarations will be posted. Teams will have the opportunity to modify their meet format, change their proposed dates, and/or remove their bid. New meets may be added to the schedule. (Please refer to NOTE above.)

Date and Pool Conflicts:
A lottery system will be used if there is more than one team with officials bidding for a particular pool on a particular date. Any club with officials who receives a date by lottery will be ineligible for a second meet by lottery until all clubs with officials have received their first meet. Clubs without officials may also receive pools and dates by lottery; but, if there is a club with officials bidding, that club will be given priority.

Regional Championship Scheduling Procedures
CSI clubs that wish to host a 2005 LC Regional Championship meet shall be required to declare their intention to sponsor a meet by completing an on-line Declaration of Intention. Clubs will be required to return their declaration by Monday February 14, 2005. Declarations will be submitted on-line at ctswim.org. Declarations will be date and time stamped by the SpellNet server. Bidding clubs will receive email confirming the receipt of their bid. Bids stamped after 11:59 PM February 14, 2005 will not be accepted.
Clubs who return a Declaration will receive a list of all bidders, no later than Saturday February 19, 2005. Clubs may withdraw their bids no later than February 22, 2005.
The Program Operations Committee will review all the declarations. Program Operations will put forth its recommendation to the CSI Board of Directors for approval. Bid awards for Regional Championships will be announced no later than February 28, 2005.
Format: CSI will be conducting two (2) Regional Championship meets on July 22-24th. One meet will be a 13/O meet held at Wesleyan University and the second meet will be a 12/U meet held at Cheshire Community Pool. Friday Evening events will be conducted at Wesleyan University. NOTE WELL: If a timeline warrants action, CSI Program Operations reserves the right to divide one or both meets into 2 sessions on Saturday and/or Sunday. Program Operations, with input from the meet host, will determine how the meet will be divided.

Declarations of Intention for meets must include: 1.) All officials registered with bidding club, 2.) Experience running championship meets, 3.) Club biography outlining club's qualifications for running a championship meet
Officials: All bidding clubs are required to have a certified Referee, Starter and Stroke & Turn Officials, registered with their club. For clubs unable to meet this requirement for a starter and referee (All bid submittals also must include at least one certified Stroke and Turn Official, registered with the host club, in order to bid.); the requirement can be met by acquiring a letter of intent, sent to CSI Program Operations, demonstrating the commitment of both the starter and referee to work the bid meets. Please send not later than February 14, 2005.
Selection Criteria: If there is more than one club bidding for a particular meet, preference will be given to a club based on the level of certification of officials and number of officials; experience hosting championship meets; qualifications of meet management; and evaluation of the club's bio. The Connecticut Swimming will select meet hosts based on these criteria. A lottery system will be used if the Board of Directors vote results in a tie.
Other requirements:
Sanction Deposit, Surcharge and Meet Reports: Sanction deposit of $150 will be collected and refunded in full if sanction requirements are met. Entering clubs will directly submit meet entries and fees to host club. The standard CSI long course surcharge policy applies and all meet reports are due in the CSI office 14 days after the meet.
Meet hosts are responsible for facility rental fees except for Friday evening. CSI will pay pool rental for Friday evening's session at Wesleyan.
CSI will sign facility rental contracts and bill host clubs for facility rental.
Meet hosts are responsible for procuring and paying rental fees for any equipment that is necessary to run a championship meet. This includes a complete timing system with touch pads at both ends.
CSI will order 1-8 medals and event winner caps. Clubs will inventory awards they distribute and submit payment to CSI for used awards. Unused awards must inventoried and returned to CSI Office. Clubs will be billed for awards that are not returned by Sept. 1. Costs are approximately $1.60 per medal and $2.50 per event winner cap.
Meet database, Age Group Championship qualifying times, meet program, etc. are the responsibility of the host club.
Timelines and membership verification must be submitted to Program Operations by Friday, July 15, 2005 9:00 PM.
Results (electronic and paper/PDF) must be submitted to the CSI Office the Monday following the championship.
T-shirt vendor arrangements will be made by CSI.
Other vendor arrangements are between host club and facility.
Host clubs must provide concessions for athletes and spectators.
Host clubs must provide a separate hospitality area for coaches/officials with food/beverages adequate for the meet length.
Timers must be provided adequate beverages and shade if venue is outdoors.
Club information for the Regional Championship meet announcement will be due in the CSI office by March 31, 2005. If any club is late, it will be notified and will have 48 hours in which to submit its information or the club will forfeit $50 of the $150 meet sanction fee.
